The Australian Institute of Medical and Clinical Scientists (AIMS) respects your privacy and is committed to safeguarding your privacy online.

The Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act) govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and How Do We Collect It?

Personal Information is information or an opinion about an identifiable individual. Examples of Personal Information we collect include: names, usernames, usage of the systems we manage, addresses, email addresses and phone numbers.

AIMS does not collect Personal Information about individuals except when such individuals specifically provide such information on a voluntary basis. For example, Personal Information may be gathered from the registration process for subscription or services and in connection with content submissions, community postings (e.g., forums), suggestions and transactional areas.

How Do We Use and Disclose Personal Information?

AIMS collects your Personal Information for the primary purpose of providing our services and information to you, providing information to our clients, suppliers and intermediaries in the course of providing our services, and for marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it. You are under no obligation to provide your Personal Information to us. However, without receiving certain information from you, we may not be able to provide our services and information to you.

Disclosure of Personal Information

AIMS will not sell or otherwise transfer your Personal Information to unaffiliated third parties without your approval at the time of collection. At such points of collection, you will have the opportunity to indicate whether you would like to "opt out" of receiving promotional and/or marketing information about other products, services and offerings from any third parties.

Further, notwithstanding any opt out of promotional information by you, we reserve the right to contact you regarding account status, changes to the subscriber agreement and other matters relevant to the underlying service and/or the information collected.

We do reserve the right to perform statistical analyses of user behaviour and characteristics in order to measure interest in and use of the various areas of the site and to inform advertisers of such information as well as the number of users that have been exposed to or clicked on their advertising banners.

You may unsubscribe or “opt out” from our mailing/marketing lists at any time by using the “unsubscribe” function in a communication, or contacting us in writing.

Use of Our Website

When you visit our website, and the platforms and systems accessed through it, we may automatically collect information about you, including details of access, IP addresses, web statistics and other information which is required to ensure that the site and systems are functioning properly.

When you visit our website, the server may attach a “cookie” to your computer’s memory. A “cookie” assists us to store information about how visitors to our website use it and to make assumptions about what information may be of most interest to you. Cookies and the data associated with them do not generally include personal identifiers, but they may be used, stored and analysed in our IT systems and by the hosts for our servers and network. It is possible that Personal Information will be captured in those processes. Your computer, server host or IT provider may allow you to configure your web usage and profile to manage what information is captured when using our website.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information (unless we are required or authorised by law to retain it).

Access to the database containing Personal Information is restricted to AIMS staff members with direct responsibility for customer service or management of the website. Authorised staff members are not allowed to pass on information about members to non-authorised staff without the express permission of the Chief Executive.

Access to your Personal Information

You may access the Personal Information we hold about you and require us to update and/or correct it if it is wrong or out of date, subject to certain exceptions and to the extent such activities will not compromise privacy or security interests.

Also, upon request, we will use commercially reasonable efforts to functionally delete your Personal Information from our database; however, it may be impossible to delete a user's entry without some residual information because of backups and records of deletions.

If you wish to access your Personal Information, please contact us on the details below. AIMS will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

Choice / Opt-Out

Our site provides users the opportunity to opt-out of receiving communications.
This site gives users the following options for removing their information from our database to not receive future communications or to no longer receive our service:

  1. Log in and go to My Account
  2. Under 'Communication Preferences', tick the 'Unsubscribe from all' checkbox
  3. Click 'Save' to update your changes
